How to run an RFQ and award lots

Monitor Qual. Bids, end the RFQ, and send an award notice.

After a Host publishes an event with Request for Quote, bids are managed on Qual. Bids in prokurit.ai. You can end the RFQ, award lots, and send an award notice. Notices are sent in-app. There is no CSV/PDF export-award action.

You will learn how to:

  • Open Qual. Bids on Event Management
  • End RFQ when bidding should stop
  • Award Lots and Send Award Notice

📌 This guide walks you through running an RFQ and awarding lots in prokurit.ai.

Step-by-Step Guide: Monitor bids

Step 1: Open Qual. Bids

Click Events.

Open the event. You should see Event Management.

Click Qual. Bids. The tab is shown when RFQ or auction lots exist.

Toolbar actions:

  • Download Now
  • Award Lots
  • Review Awarded Lots
  • Add another Round
  • End RFQ
  • Expand Participants
  • Hide Line Items / Show Line Items

📌 If you have no lots yet, the tab tells you to use Create Auction Lots first.

Step 2: Work with rounds

Use View round, Current round, and Round :n when you have more than one round.

Click Add another Round when you need a further commercial round.

Step-by-Step Guide: End RFQ

Step 1: Choose End RFQ

From the event status menu, click End RFQ.

You should see End RFQ? — Participants will no longer be able to submit bids for this RFQ.

Click Continue (or Cancel).

Success: RFQ ended successfully. The menu then shows RFQ is closed.

Step-by-Step Guide: Award lots and send a notice

Step 1: Open Award Lots

On Qual. Bids, click Award Lots.

You should see Award Lots.

For each lot, set Awarded participant. Use Include in award notice and Clear as needed. Save in the modal.

Step 2: Create and send the notice

Click Create New Award Notice.

Edit the email: Edit the email that accompanies the Award Notice.

Click Send Award Notice.

Success: The Award Notice has been sent. Your Award details have been updated.

Status chips include Draft, Saved, and Notified. You can later Review Awarded Lots. Generate PO appears in the award modal when that action is available.

Key Considerations & Best Practices

  • ✅ Commercial award on this tab is Award Lots.
  • ✅ There is no export-award CSV/PDF command. Use Download Now on Qual. Bids for bid data and Send Award Notice for the decision email.
  • ✅ Participants submit with Enter Bid then Submit (simple lots) or confirm Submit Bid (advanced lots). See How to submit an RFQ bid.
