Participants are the suppliers a Host invites to an event in prokurit.ai. You add them on the Invite tab (create flow) or Participants (from the published event), then publish so emails go out.

Step-by-Step Guide: Invite participants
Step 1: Open Invite
Click Invite.
On a published event opened from Events, the tab is Participants.
📌 Your organisation needs an active licence or trial before invites and publish will complete. If you see Buy a Licence or Trial & licence, finish that tab first (Pay & Continue or Start Free Trial).
Step 2: Add participants
Click Add New Participant.
You should see Add New Participant.
Tabs:
- Add Participant Manually — User E-mail
- Upload List — Download Sample CSV and drop zone. Columns:
email, name, company_name, contact_1, contact_2, contact_3 - Pick Group
- Pick From Participant Database (default)
Click Add (or Cancel). Repeat as needed.
Optionally tick Do you want to automatically accept participants?
On the list toolbar you can Filter and Download.
Step 3: Publish
If RFQ or auction is on, you must already have at least one lot on Create Auction Lots. If Questionnaire is on, you need at least one question.
Click Save & Invite and Finish.
You should see Publish your event?
Click Continue.
Registered participants receive event details. Others receive a registration link and event information.
Step-by-Step Guide: Manage invitations after publish
Step 1: Open Participants
Open the event from Events.
Click Participants to add more people.
Participants accept or decline from My Events (Accept / Decline). Hosts do not use an invitation-packet screen.
Key Considerations & Best Practices
- ✅ Event people are added on Invite / Participants. Organisation teammates are invited from avatar Members.
- ✅ Auto-accept is the checkbox Do you want to automatically accept participants?
- ✅ Without readiness (questions / lots / participants as required), the event remains Draft.
