How to create a new event

Create, configure, and publish an event from New Event.

Table of contents

A sourcing event in prokurit.ai is one workspace where a Host turns on Questionnaire, Request for Quote, and/or Online Auction, then invites participants and publishes. There is no separate RFP or RFI event type. Those names only appear as examples when you title a questionnaire.

You will learn how to:

  • Open New Event and choose new, template, or clone
  • Walk the editor tabs and save
  • Publish with Save & Invite and Finish

πŸ“Œ This guide walks you through creating and publishing an event in prokurit.ai.

Step-by-Step Guide: Create a new event

Step 1: Open New Event

Click New Event.

You should see New Event. Copy: Choose how you want to create your event.

Select one:

  • Create a new event
  • Use template
  • Clone event

Click Create Event (or Cancel).

  • Use template opens Use a saved template. Pick a row, then click Use this template.
  • Clone event opens Clone an existing event. Click Clone this event. Cloning copies settings, questionnaires, and lots. It does not copy participants or bids.

πŸ“Œ You can start from Dashboard or the left-hand Events menu.

Step 2: Fill Settings

You should see breadcrumb Dashboard / New Event.

Tabs run in this order:

  1. Settings
  2. Create Documents
  3. Questionnaire tab(s) named from Settings
  4. Create Auction Lots (when Request for Quote or Online Auction is on)
  5. Buy a Licence or Trial & licence (if you have no active licence)
  6. Invite

On Settings, complete Event Essentials:

  • Event Name (required)
  • Event Brief (rich text)

Under Select Event Features, open each accordion:

  • Questionnaire β€” name (hint examples include RFI, RFP, RFQ, PQQ), deadline, Pre-Qualification, scoring, Allow edits until deadline?. Use Add / Delete for extra questionnaires.
  • Request for Quote β€” Bid Deadline, Default Currency, multi-currency options.
  • Online Auction β€” Start Time, Min Duration, Bid Direction (Reverse / Forward / Ranked), Event Type (Ranked / Open / Japanese).

πŸ“Œ Request for Quote and Online Auction are mutually exclusive. Turning one on turns the other off.

Click Save & Go to Next Step.

Step 3: Add documents (optional)

Click Create Documents.

Click Add New Document.

Tags include Include In Invite and Internal.

Click Save & Go to Next Step.

Step 4: Build questionnaires and lots if enabled

Follow How to build a questionnaire and How to create lots.

If RFQ or auction is on, add at least one lot (simple or advanced) on Create Auction Lots before you invite. Without lots the event stays in Draft.

If the Trial & licence tab appears, complete trial or Pay & Continue before invite.

Step 5: Invite and publish

Click Invite.

Add participants. See How to invite participants and publish.

On the last tab of a new event, click Save & Invite and Finish.

You should see Publish your event? β€” Do you want to publish your event and send invite information by email? Registered participants will receive the event details; others will receive a registration link and event information.

Click Continue (or Cancel).

Step-by-Step Guide: Manage a published event

Step 1: Open Event Management

Click Events.

Open the event. You should see breadcrumb Event Management.

Step 2: Save changes on a live event

When you edit a published event, the last-tab button is Save & Republish.

Confirm Republish event? then click Republish.

Step 3: Save as template or clone from sandbox

From the editor toolbar, click Save as template.

Enter Template name *, optional Description, then click Save template.

Sandbox: avatar menu Sandbox enters sandbox mode. From a published sandbox event you can Clone event into live.

Key Considerations & Best Practices

  • βœ… Use Save & Go to Next Step on every tab except the last. There is no standalone Finish button.
  • βœ… The last-tab Host label is Save & Invite and Finish, not β€œSave & Invite”.
  • βœ… Event list statuses include Draft, Published, Closed, and On hold.
  • βœ… Auction type names in the UI are Ranked, Open, and Japanese.
